Two distinct tiers get confused constantly: Built-in Reports (free, pre-configured, zero setup) and Custom Reports (built from templates, gated by subscription package). Knowing which tier a need falls into up front saves a round trip.

Two tiers, one common confusion: Built-in Reports are free and ready to run on any subscription; Custom Reports require a specific package level and real configuration. Asking for a custom-report feature when a built-in report already covers it — or hitting a paywall trying to build custom on an account that doesn't include it — both trace back to not checking which tier the need actually falls into first.

Know which tier you actually need

Created By filter
  • Built-in reports span 11 business-function categories, ready to run immediately — filter Reports by Created By = ServiceTitan to see the full list.
  • Custom reports need a template by business function, then KPIs/filters/layout configuration, and a qualifying package level.
Missing feature ≠ bug If a custom-report option is missing, that's a subscription-tier question first, not a settings problem to troubleshoot.

Build a custom report

  • Select a template matching the business function, choose KPIs, apply filters, configure layout.
  • Use the Reporting Dictionary to confirm what a field actually means before building on an assumption.
  • Set permissions before treating the report as finished — an unshared report is invisible to the people who need it.

Combine templates for cross-cutting questions

Join Template
  • Reports can join two templates on a shared entity (Customer ID, Job ID, Business Unit ID), auto-identified by the system.
Duplicate-row trap A 1-to-many relationship between joined templates can produce duplicate rows. Check which side is the "many" before trusting a total.

Schedule delivery instead of running manually

Scheduled Reports
  • Simple Report (individualized per recipient) or Flexible Report (identical copy to everyone).
  • Scheduled reports run in the background without the browser timeout that on-screen runs hit — the actual fix for a report too big to run live.
  • A schedule fires on its saved filters — update and save filters before scheduling, since it won't prompt fresh each run.
