Service Agreements

The B2B, low-volume/high-dollar recurring-contract tool — commercial counterpart to residential Memberships. Runs on one distinction that trips people up constantly: a Visit is a placeholder, not a Job, until it's explicitly booked.

Agreement Templates Visit Templates Visits Section Exception Dashboard

A Visit is a placeholder for a future Job, not a Job itself. It has to be explicitly attached to an existing job or booked from Call Booking/Dispatch Board before a technician is actually scheduled — the single most important mental model for this whole system.

Setup

Three template layers, then a seven-step builder

Enable the feature, build reusable templates, then assemble an individual agreement.

1

Enable the feature

  • Requires account configuration through Customer Success or Technical Support — not self-service.
2

Build the three template layers

Agreement TemplatesVisit TemplatesDocument Templates
  • Service Agreement Templates: structure, terms, deferred revenue settings, custom fields.
  • Visit Templates: standard procedures, labor/material expectations.
  • Document Templates: the actual proposal, e-sign, import/export for consistency.
Shared-template ripple effect Visit Template settings apply to every agreement built from it — editing a widely-used template changes every agreement tied to it, not just the one you're looking at.
3

Build an agreement — seven steps

  1. Summary & Design — template, name, duration
  2. Locations & Contacts
  3. Equipment covered
  4. Scope of Work — visits, frequency, forms/tasking
  5. Pricing — labor, materials, burden
  6. Billing Schedule & Payment
  7. Preview & Send
Two time-savers Duplicate an existing agreement instead of starting fresh for similar contracts. Use Backdate when bringing an already-ongoing relationship into the system, rather than forcing an artificial "start today."

Ongoing use

Management & visit pipeline

  • Service Agreement Dashboard: coverage overview, remaining visits, budget vs. actuals, billing status — the one screen for contract health.
  • Update details, manage equipment, oversee procurement, process billing, change status, enable auto-renewal, adjust deferred revenue as service is delivered.
  • Bulk operations: price changes, term edits, renewals, and status changes across multiple agreements at once.
